The Ritsumeikan University Alumni Association (hereinafter, “the Association”) collects the personal information necessary for the operation of the Association. We comply with the laws concerning personal information (Act on the Protection of Personal Information) and strive to manage and handle personal information in a safe and proper manner.
Purposes of Use of Personal Information
- (1) To send the Alumni Association Newsletter
- (2) To perform duties pertaining to the collection of membership dues
- (3) To announce the establishment of new alumni groups
- (4) To announce events sponsored by the Alumni Association headquarters, prefectural chapters of the Alumni Association, affiliated groups of the Alumni Association, and other alumni groups
- (5) To conduct questionnaires with alumni
- (6) To transmit a range of communications from the Alumni Association or Ritsumeikan University
- (7) To perform other duties related to the items above
Management of Personal Information

The personal information of alumni will be managed securely in accordance with laws and regulations to prevent leakage, loss, or damage.
Provision of Personal Information to Third Parties

The Association does not provide personal information to third parties without the consent of the individual; however, information may be provided to third parties when permitted by law.
Outsourcing related to Personal Information

The Association may outsource some duties including the handling of personal information. In such cases, the Association requires outsourcing contractors, through contracts or other agreements, to implement necessary and appropriate management measures to prevent the leakage, disclosure, or unauthorized use of said personal information.
Other Important Points Pertaining to Handling
- We do not respond to inquiries for information about a specific individual unless they come from the individual in question (with the exception of the letter forwarding described in the next item).
- Only when requested by an alumnus, inquiries about addresses are handled by forwarding letters via the Alumni Association Secretariat (without disclosing the location of the subject of the inquiry to the inquiring party).
- We only provide name and address data to organizations officially recognized by the Alumni Association for the purpose of providing information on events sponsored by those organizations.
- We respond to the needs of each alumnus, including personal information non-disclosure requests, as needed.
