Ordering a Transcript or Certificate for Graduates

You can request your record in person or by mail. The following Colleges and Graduate Schools provide separate information to request a Transcript or Certificate at their website:

1. Order in Person at the Office of Your College/Graduate School
To order your record in person, you must bring your identification document (Valid driver’s license, Japanese National Health Insurance card, Passport, or Photo ID). You need to fill out a Transcript/Certificate Request Form at the office and pay a fee by a Certificate stamp that you can purchase at the CO-OP on campus. Certain certificates cannot be issued on the same day, so it is recommended you call ahead to check. Please be advised that your record can be issued only at the office of your College/Graduate school.
2. Order by Mail
To order your record by mail, you must send all necessary documents mentioned in 1) through 4) in an envelope. It will take 2 to 3 business days (excluding weekends and public holidays) to process upon receipt of your request. It may take up to 3 to 6 business days for certificates regarding qualifications or depending on the year you graduated. Additional time is required during the summer break and New Years holidays, so please make your request well in advance.
1)Transcript/Certificate Request Form (Excel) (PDF)
  • a. Your full name (in kanji)
      (All transcripts and certificates are issued under the student's name as recorded in the office during their enrollment
  •   at RU. If there are any changes in your name, you have to put both the name used at RU and name you currently use.)
  • b. Your full name (in furigana)
  • c. Your full name (in roman letters) (required only for transcripts and certificates in English)
  • d. Year/date of graduation, completion of study, or removal of your name from RU register.
  • e. Your College and Department or Graduate School and Major
  • f. Date of birth
  • g. Current mailing address
  • h. Telephone number where you can be reached during the day
  • i. Reason for your request
  • j. Please state the transcript or certificate type, number of records, and in what language (English or Japanese) you require.
  •  Also, please specify if you want it to be mailed in a sealed envelope or not. If you are requesting
  •  「学力に関する証明書(教員免許授与申請用)」(Certificate of Academic Ability [for Teaching Certificate Request Form]),
  •  please fill in your permanent domicile and where the certificates will be submitted to.
  • k. Payment method and amount
  •   (Japanese postal money order, Japanese postal stamps or International Reply Coupon is accepted.)
    • Example: 600 JPY in postal stamps enclosed.
  • l. Type of ID (copy)
    • Example: A copy of Japanese National Health Insurance card enclosed.

*Please be sure to put “Ritsumeikan University, College of ○○ or Graduate School of ○○, Certificates Department” on envelope.

2)Form of Identification
A copy of your ID (Valid driver’s license, Japanese National Health Insurance card, Passport, or Photo ID) is required. *The copy will be used solely for the purpose of issuing transcripts and certificates and will be dealt with appropriately.
3)Issuance Fee

The following certificates and transcripts cost 300 JPY each including the ones issued in English. If you are requesting a record other than the items mentioned below, please contact the office of your College/Graduate School. Certificate of Graduation (College), Certificate of Completion (Graduate School), Transcript of Academic Record, 「学力に関する証明書(教員免許授与申請用)」(Certificate of Academic Ability [for Teaching Certificate Request Form]), Certificate of Period of Enrollment (A period of leave of absence from school excluded), Certificate of Period of Registration (A period of leave of absence from school included)
Payment method
Please enclose a Japanese postal money order, Japanese postal stamps or International Reply Coupon equivalent to the amount for your certificate(s). (Do not stick the stamps or coupon.) *Since December 1, 2010, besides a Japanese postal money order, you can make a payment with Japanese postal stamps. For requests from outside of Japan, you can also use an International Reply Coupon.
[International Reply Coupon]
・International Reply Coupon is a coupon that can be purchased at the post office in your country.
・You must enclose the appropriate number of coupons equivalent to your issuance fee in Japanese yen.
 (One International Reply Coupon is equal to 130 JPY.)
・Any remaining amount will be returned to you in Japanese postal stamps along with your record.
 This is an example if  you order one certificate and pay by International Reply Coupon;
・Purchase three International Reply Coupons (130 JPY per coupon × 3 = 390 JPY)
・390 JPY - 300 JPY (the issuance fee) = 90 JPY
・The 90 JPY will be refunded in the form of Japanese postage stamps.
4)Return Envelope
Please enclose a self-addressed stamped envelope with your postal code, return address and name written on it. The record will be sent to the graduate’s name and address.
If you are sending the request from outside of Japan and unable to put a Japanese postage stamp(s) on the envelope, please put an International Reply Coupon(s). Please note that any excess in payment will NOT be returned. For example, even if the postage charge is 110 JPY from Japan, you still need to put one International Reply Coupon, which is equal to 130 JPY, and the remaining balance of the coupon, 20 JPY, will not be refunded. If you require rush delivery, please contact the office of your College/Graduate school for the Express Mail Service. For your convenience, the tables below show the estimate for domestic and international postal charges. If there is any excess or deficiency of fees or postages, you will be refunded or charged when sending records.
